Wales Broadcast Archive: Privacy Notice

How we hold and process your information

Wavehill are undertaking a survey on behalf of the National Library of Wales (NLW). We are asking people who have accessed the Wales Broadcast Archive to provide feedback to help understand the impact it is having. Participation is voluntary. You can decide to not take part and can choose to not answer certain questions if you prefer.


The data you provide will be only be used for the purposes of this evaluation. It will be collected and inputted into our survey software, Qualtrics, by NLW and then processed and stored securely by Wavehill. Wavehill will produce a report based on the information but this will not identify any individuals. The team undertaking the evaluation do not work for the NLW or any of the organisations involved in the delivery or funding of this project. This is an independent evaluation.


Any personal information collected is kept confidential. Your answers will not be made public in a way that could lead to you being identified. The information is only used for statistical analysis and research purposes. Wavehill will produce a report based on the data but this will not identify any individuals.


Wavehill will delete all personal data relating to this research within six months of the end of the evaluation. Your answers are linked anonymously to other data sources for non-commercial research purposes only, unless you ask for this linkage to not take place. The anonymised data is held securely and is only ever used for non-commercial research purposes. We do not share or use your information for commercial or marketing purposes.

Under the new data protection legislation, you have the right:

  • To access your personal data held by NLW.

  • To require NLW to correct any mistakes in that data.

  • To (in certain circumstances) object to or restrict processing.

  • For (in certain circumstances) your data to be ‘erased’.

Why is this research happening?

NLW is bringing together the archives of BBC Wales, ITV Wales and S4C, to establish the Wales Broadcast Archive: the first national broadcast archive in the UK. The project, supported by the National Lottery Heritage Fund and the Welsh Government, aims to establish the archive in partnership with the major broadcasters in Wales and ensure it can be publicly accessed through new access and engagement centres and a website.


What type of information is collected through the survey?

The survey focuses on how the NLW archive is being accessed and users’ experiences.


What is personal data?

Personal data means any information that could lead to a person being identified either alone or in combination with other widely-available information, e.g. their name, their address, or details specific to that person. This survey collects some personal data for all respondents, specifically, age.


How long will personal data be kept for?

Wavehill will hold personal data during the contract period but will delete it six months after the end of the contract.


What is the legal basis for collecting and processing the data collected? 

Legitimate Interest - The evaluation enables National Library of Wales to understand whether the project is effective. It can therefore be used to inform the project funders (The National Lottery Heritage Fund) and future activities within the core role and functions of the organisation. For example, the information collected might be used:

  • To decide whether changes need to be made to the project or future projects

  • To decide whether projects like the Wales Briadcast Archive should continue in the future

  • To understand the best methods for creating digital archives and making them accessible.

 

What is the purpose of processing your answers?

The data is used for research and evaluation purposes only. The data will be analysed to enable National Library of Wales to understand the impact and effectiveness of the project. The data will not be used for commercial or marketing purposes and it will not be used to take make decisions about you as an individual.


Who has access to the personal data collected through the survey?

Both Wavehill and National Library of Wales will have access to the personal data collected through the survey. The data will not be shared with anyone outside of Wavehill and National Library of Wales. Wavehill will delete all personal data within six months of the end of the project (scheduled to end January 2026).
